Assurance Operating System (AOS)

Grants Pack: The Assurance Room

CFS installs a cadence-driven evidence workspace that maps requirements to proof, assigns ownership, and keeps artifacts current without replacing your tools.

Stop scrambling for compliance. Produce defensible evidence on schedule. Retrievable, attributable, and drill-ready.

We make your critical claims provable on demand. Governed, retrievable, and always current.

Sphere on Spiral Stairs
GAO found that about 1-in-6 of federal award spending (2017–2021) was linked to audit findings that were both severe and persistent.

Most organizations don’t fail because they refuse to comply. They fail because they can’t consistently produce proof of compliance.

What is an Assurance Room?

Our flagship product: a governed evidence workspace where each award has a clear footprint—what exists, who owns it, what counts as proof, where it lives, and when it must be updated—with safe, scope-bound sharing for external reviewers.

Built on A–F Evidence Types

How it works.

We start by translating your award requirements into a Proof Map, then implement a filing structure and cadence so evidence stays current. When someone asks for proof, you don’t scramble. You retrieve. We overlay your existing tools and add safe sharing for external reviewers.

We also support high-scrutiny reviews beyond grants (capital, board, procurement and more) ask if relevant.

Secure sharing powered by enterprise-grade VDR tools. Powered by Digify ISO 27001 certified (gold-standard ISMS) and layered security controls.

Why use an evidence governance system?

  • Storage isn’t governance. We define what counts as proof, who owns it, and when it must be updated.

  • Built for retrieval under scrutiny. Requirements are mapped to evidence so responses are fast and defensible.

  • Safe, scope-bound sharing. Share packs are curated, approved, and permissioned by audience.

  • Governance that pays you back.  By turning “who owns what” and “what counts as done” into a system, routine operations get sharper with less rework, fewer handoffs, more throughput.

Who is this for?

  • Leadership that wants compliance to become boring, predictable, and defensible

  • Nonprofits with active awards and real reporting deadlines

  • Teams experiencing turnover, proof decay, and repeated scramble

  • Organizations that need governance to be institutional-grade, not heroic

The truth is, life can be messy

  • Proof decay: turnover, scattered files, missing context, last-minute reconstruction

  • Unowned compliance: “everyone” is responsible, so no one is.

  • Audit/reporting fire drills: reporting and reviews consume weeks because proof isn’t ready.

We manage the exceptions.

The actual pain fields are:

  • missing docs

  • turnover

  • retroactive confusion

  • subrecipient failures

  • policy mismatches

  • unassigned or orphaned documents

...not task tracking.

Gradient Geometric Shapes

Unlike a grant system that tracks tasks and store documents. We are a governance system that performs.

We use clear verification tiers:

Captured: recorded and indexed

Controlled: governed workflow + permissions + versioning

Verified: reviewed against criteria (often Bench-involved)

Drill-Ready: retrievable under time constraint, complete and attributable
